Business owners who want to move their office to a new location but don't yet know where they need to notify, or what documents and procedures are required—this is a problem many business owners face. Changing a company's address is not just a matter of notifying a single place and finishing the process; it requires dealing with multiple agencies simultaneously, including the Department of Business Development, the Revenue Department, the Social Security Office, and potentially other agencies depending on the type of business. If the procedures are incomplete or delayed, it can affect the receipt of official government documents, the issuance of tax invoices, and the receipt of legal benefits. This article will guide you through every step comprehensively, along with a procedural checklist. Documents to prepare Ready to use immediately!
Why is it necessary to promptly contact and notify the data transfer when changing the company address?
The address of a company or registered partnership is considered the ‘head office location’ under the law, which has legal implications in many aspects, whether it be
- Mailing address for official notices from government agencies such as the Revenue Department or the Department of Business Development
- Database for issuing tax invoices and business documents
- The address that appears on the company certificate, which partners and financial institutions use for verification
- location where the regulatory agency will conduct inspections
⚠️ Caution: Failure to notify of a company address change in the event of relocation may result in official government correspondence failing to reach the actual recipient. Under the law, the document is deemed to have been received since it was sent to the former address, which could subsequently affect the company's various legal rights.
For businesses that are relocating their office or operational address, notifications must be submitted to three main government authorities:
- Department of Business Development (DBD) in the jurisdiction where the company is registered
- The Revenue Department office in the area where the company is located
- The Social Security Office in the area where the company is located
Additional information for the registered location
Registration location: Submit the registration application at the offices under the Department of Business Development and the provincial Commerce Offices nationwide, according to the location of the company’s head office, as follows:
- A limited company with its head office located in the Bangkok area shall submit its registration application to the Department of Business Development (Sanambinnam), Business Development Offices Districts 1-6 (Pinklao, Phahonyothin, Ratchadaphisek, Si Phraya, Srinakarin (Thanya Park Shopping Center), and Chaeng Watthana (The Government Complex Commemorating His Majesty the King's 80th Birthday Anniversary)). For securities businesses only, the registration application must be submitted to the Department of Business Development (Sanambinnam).
- Limited companies with their head office located in other provinces must submit their registration application at the Provincial Commerce Office in the province where the company’s head office is situated.
Changing the company address must be done with various agencies.
Each of which has different procedures and timeframes depending on the system of each agency.
1. Department of Business Development (DBD) registered the address change
It is the first and most important step by going to the district where the company is located. This part is important because the information in the commercial registration is the main database of the company.
- Required documents: Form Bor.J.4 (Memorandum of Association) or H.J.K.3 for partnerships, Form Bor.J.1 (Registration Details), current company certificate, ID card of the authorized director
- If the new address is in the same province: Submit the application at the provincial DBD office or via the e-Registration online system.
- In case of relocation across provinces: Company regulations must be amended and a shareholders' meeting may need to be held beforehand.
- Duration: Approximately 1–3 business days (in case of online submission and complete documents). However, you can consult with experts for advice.
2. The Revenue Department to notify the change of business establishment
Instructions: Companies registered for VAT and/or filing Corporate Income Tax must notify a change of address.
- Form used: Por.Por. 09 for VAT registrants to amend VAT registration
- Submit to: The Area Revenue Office where the new establishment is located.
- If moving across revenue districts, the tax filing history must also be transferred to the new district.
3. Social Security Office
Employers with 1 or more employees must notify of establishment changes.
- Form: SSO. 1-03 Employer Fact Change Notification Form
- Submit at: The new area Social Security Office or via the online system www.sso.go.th
- Period: Notify within 15 days from the date of relocation
4. District Office / Municipality – Sign taxes and various licenses
- If there is a billboard: You must notify the new district office or municipality to pay the billboard tax.
- Business licenses, such as restaurant, factory, and warehouse licenses, require applying for a new license at the new location.

FAQ: Frequently asked questions about changing the company address ❓
Q1: Does changing the company address require holding a shareholder meeting?
Most of the time, changing a company's address requires a shareholder resolution before filing the amendment with the Department of Business Development. However, in some cases involving a relocation within the same province that does not affect the Memorandum of Association, a board of directors' resolution may suffice. Therefore, you should always check the company's incorporation documents and relocation details before proceeding.
Instructions: For accuracy and speed, you should consult a company registration specialist to ensure the address change complies with legal requirements and prevents future issues. Contact FDI for a consultation right now!
Q2: How long does it take to complete the company address change across all agencies?
If the entrepreneur prepares all documents and there is no relocation across provinces, it generally takes 1-3 weeks, and in the case of a cross-province relocation and the need to amend company regulations, it may take 4-8 weeks.
Q3: Is there a penalty for late notification of a company address change?
There are legal penalties, such as failing to notify the Revenue Department within 15 days, which may incur fines under the Revenue Code. Failing to notify the Social Security Office may result in fines under the Social Security Act B.E. 2533 (1990). It is recommended to complete the process as soon as possible after the actual move.
Q4: Does a company that is not registered for VAT need to notify the Revenue Department?
A company that is not registered for VAT still needs to update its address for corporate income tax filing by notifying the new area revenue office to transfer its taxpayer file.
Q5: Who signed the company address change notification document?
The authorized director according to the company certificate must sign, or may authorize an agent to act on their behalf by attaching a valid power of attorney.
Q6: Does changing the company address affect tax invoices that have already been issued?
Tax invoices issued before the address change remain valid, but after the address change is approved, tax invoices must be issued with the new address immediately. Issuing tax invoices with the old address after the change is considered invalid documentation.
Q7: Can a Co-working Space be used as a company address?
It can be used as an address if there is a lease agreement or a consent letter from the property owner that clearly states the address, which must be attached as evidence when submitting the documents properly.
